QuickBooks + Slack

Ask QuickBooks questions in Slack

Right now somebody opens QuickBooks to answer that, and two people lose their thread. Ask in the channel and nobody has to.

It reads customers, invoices, payments, vendors, bills, bill payments, purchase orders, inventory, credit memos and vendor credits, and groups totals by Class when you ask for a breakdown. QuickBooks Online and QuickBooks Desktop both connect.

Kipper connects QuickBooks Online or QuickBooks Desktop to Slack and answers questions about your books in plain English. It works the opposite way to an alert integration: nothing is pushed into your channels, someone asks and Kipper answers. A QuickBooks admin authorizes it once, and after that nobody asking needs a QuickBooks login. Access is read-only, each answer respects the asker's own permissions, and every request is logged.

No QuickBooks login for the people asking

Read-only by design, so Kipper cannot change your books

Every answer respects the asker's own permissions

Changes in QuickBooks reach Slack within seconds

Two different things

A QuickBooks Slack integration that answers questions, not one that posts alerts

Zapier, Make, IFTTT and the rest wire a trigger to an action: a new invoice appears, a message lands in a channel. Somebody settles in advance what the channel will be told, and that decision is the whole list of things anyone can ever learn from it. Kipper runs the other way. The person decides in the moment what they want to know. Both are useful, and plenty of teams run both.

Alert automation

Zapier, Make, IFTTT, n8n

  • A QuickBooks event fires a message into a channel
  • You decide in advance what gets posted
  • Good for: invoice created, payment received
  • Nobody can ask it a question

Kipper

Read-only, asked not pushed

  • A person asks, Kipper answers from QuickBooks
  • Nothing is posted unless somebody asks for it
  • Good for: is this paid, what do we owe, what is outstanding
  • Every answer respects that person's permissions

What your team can ask

What your team can ask QuickBooks from Slack

Plain-English questions about invoices, bills, payments and customers, answered in the channel where they were asked.

"Has invoice 1042 for Bright Harbor been paid?"

Account manager following up in Slack

"Unpaid bills for Summit Janitorial this month?"

Office coordinator checking AP

"What is Bright Harbor's open balance?"

Sales representative, mid-call

"Which invoices are more than 30 days overdue?"

Collections, working the AR aging

"Total invoiced for Class East last quarter?"

Regional lead checking their own numbers

"How much have we paid Summit Janitorial this year?"

Ops lead reviewing a vendor

"What is on hand for SKU 4410?"

Warehouse supervisor on the floor

"Any open purchase orders for Northwind Supply?"

Procurement checking before reordering

See it answer a QuickBooks question for real.

Who it's for

Who asks QuickBooks from Slack

Account manager

Check in Slack whether invoice 1042 for Bright Harbor is paid before following up with the customer.

Sales representative

Confirm a customer's open invoice balance mid-call without leaving Slack.

Office coordinator

Look up unpaid bills for a vendor this month instead of asking finance to run a report.

Ops lead

See what has been paid to a vendor this quarter, listed as individual bill payments.

Support escalations lead

Before escalating an account in Slack, check whether it has an invoice past due and how long it has been outstanding.

Retail operations

Check inventory on an item and which purchase orders for it have already been billed, without opening QuickBooks on the floor.

Pricing

$5 a month for each extra person who asks

QuickBooks plans start at $200 a month with 10 active users included, then $5 for each additional active user. Billing follows the people who actually ask a question that month, so a quiet month costs less.

  • 2,000 questions a month included
  • Free 14-day trial with 100 questions
  • No credit card required to start
  • Month to month, no long-term commitment

How it works

How to connect QuickBooks to Slack

Four steps, all of them in the Kipper portal and your Slack workspace. No developer, no QuickBooks API keys, no automation tool in between.

01

Connect QuickBooks

In the Kipper portal, open Data Sources and choose your edition. QuickBooks Online is an Intuit approval screen. QuickBooks Desktop takes about five minutes through the Web Connector that ships with it.

02

Add Slack as an interface

Still in the portal, open Interfaces, click Add interface and choose Slack for QuickBooks. A Slack workspace admin authorizes it once.

03

Add your team and set what each person sees

Invite people in the portal and give each one a permission set. Their Kipper email has to match their Slack email, which is how Kipper knows who is asking.

04

Ask in Slack

Message Kipper directly with no mention needed, or type @Kipper in a channel. Replies land in the thread, and asking again in that thread keeps the context.

We'll do the setup with you.

A 30-minute session: connect QuickBooks, add Slack, and set who can see what. Free, no commitment.

Straight answer

What Kipper will not do

Worth knowing before you book a call, so nothing here is a surprise later.

Write anything back to QuickBooks. The connection is read-only and there is no setting that changes it.

Post alerts or scheduled updates into a channel on its own.

Read individual bank feed transactions or reconciliation status.

Run cash planning, runway or burn calculations.

Close the books, reconcile, or run budget versus actual.

Return more than one invoice PDF at a time.

How Kipper handles access

Read-only. Permissioned. Logged.

  • Kipper never creates, updates, or deletes QuickBooks records.
  • You choose what each user or team can see.
  • Every question is written to an audit log.
  • Pricing is the same on every interface. See plans.

FAQ

QuickBooks in Slack, answered

Setup, permissions, data freshness, and how this differs from an alert integration.

No, and it runs the other way round. Those tools push a message into Slack when something changes in QuickBooks, such as a new invoice. Kipper never posts on its own: a person asks a question in Slack and Kipper answers it from QuickBooks Online.
No. A QuickBooks admin connects the account once in the Kipper portal. After that, anyone you have approved in Kipper can ask in Slack without a QuickBooks seat of their own.
On QuickBooks Online, Intuit notifies Kipper when a record changes and Kipper pulls it within seconds, with a poll every 15 minutes as a backstop. On QuickBooks Desktop, Kipper pulls changed records every 15 minutes through the Web Connector and re-pulls the full data set once a week.
Customers, invoices, payments, vendors, bills, bill payments, purchase orders, inventory, credit memos and vendor credits, plus supported financial reports and report lines: the Trial Balance, P&L, Balance Sheet and Cash Flow statement. Totals can be grouped by Class. Individual bank feed transactions and reconciliation status are outside what Kipper reads.
No. The connection is read-only and there is no setting that changes that. Kipper never creates, edits or deletes a QuickBooks record.
The answer is calculated against the permissions of the person who asked, never the channel's. The reply itself is visible to everyone in that channel, so ask anything sensitive in a direct message instead.
Yes, for QuickBooks Online invoices. Ask by invoice number and Kipper returns a short-lived download link in the thread, permission-checked like any other answer. It handles one invoice at a time.
Both. QuickBooks Online connects through Intuit's approval screen. QuickBooks Desktop connects through the Web Connector that comes with it, which takes about five minutes and keeps working when QuickBooks is closed. The questions you can ask in Slack are the same either way. The invoice PDF is QuickBooks Online only for now.
No. QuickBooks Online is a standard Intuit approval screen and Desktop uses the Web Connector already installed with it. The Slack app is added from the Kipper portal. There are no API keys to manage and no code to write.
