Xero + Microsoft Teams

Ask Xero questions inside Microsoft Teams

Somebody asks, somebody else opens Xero, and the channel waits. This takes out the middle step.

Kipper reads contacts, invoices, payments, supplier bills, bill payments, purchase orders, inventory, credit notes and supplier credits, along with prepayments and overpayments on both sides. The Xero Trial Balance, P&L and Balance Sheet are available too. It can break a total down by Tracking Category. Your bank feed is not part of the connection at all.

Kipper connects your Xero organisation to Microsoft Teams so a channel can ask about bills, purchase orders, contacts, payments, and the Xero Trial Balance, P&L and Balance Sheet in plain English. A Microsoft 365 administrator approves it once, Kipper installs it into your tenant, and access is strictly read-only: it can report the status of a bill or a purchase order but can never change one. Bank transactions and account balances are outside what it reads.

Status of a bill or PO, without opening Xero

No Xero seat for anyone in the channel

Read-only, so no approval can be given by mistake

Answers scoped to the person, not the channel

Two different jobs

Some Teams apps let you approve a Xero bill. This one lets you ask what happened to it.

Tools built around approvals put the Xero workflow inside Teams, so a bill or a purchase order can be raised and signed off without opening Xero. They write to your ledger, which is the entire point of them. Kipper cannot write at all. It reads what is already there and answers questions about it, which is exactly why the two can sit in the same tenant without treading on each other.

Approval workflow apps

Approveit and similar

  • Raise and approve bills, POs and quotes from Teams
  • The decision is written back into Xero
  • Good for: getting a purchase signed off
  • Built around one process

Kipper

Reads the ledger, never writes

  • Ask what a bill, PO or contact is doing right now
  • Nothing is ever written back
  • Good for: where did that get to, what do we owe
  • Built around any question, not one process

What your team can ask

What a Teams channel asks Xero

The questions that would otherwise become a message to whoever holds the Xero login.

"Has the Thornbury Joinery purchase order been billed yet?"

Procurement lead in the buying channel

"Which supplier bills are due before the end of the month?"

Department manager planning spend

"Did the Calder Print supplier credit come through?"

Operations manager after a returned delivery

"What is the open purchase order value for Oakfield Supplies?"

Procurement lead reviewing commitments

"What have we invoiced for Tracking Category Northern?"

Client services lead in a regional channel

"Does Marlow and Sons still owe us anything?"

Office manager fielding a query

"How much of the Wexford Labs prepayment is left?"

Client services lead before the next invoice

"What is on hand for item TP-320?"

Warehouse lead in the operations channel

See it answer a Xero question for real.

Who it's for

Who asks Xero from Teams

Procurement lead

Check whether a purchase order has turned into a bill yet, without chasing the finance inbox.

Department manager

See which supplier bills are due before the month closes, from the channel where the spend was agreed.

Client services lead

Look at what a contact has been invoiced this quarter before a renewal conversation.

Operations manager

Find out whether the supplier credit for a returned delivery ever came through.

Warehouse lead

Check stock on an item and which purchase orders against it are still open.

Office manager

Answer a supplier chasing payment without opening Xero or interrupting the bookkeeper.

Pricing

$5 a month for each extra person who asks

Xero plans start at $200 a month with 10 active users included, then $5 for each additional active user. Billing follows the people who actually ask a question that month, so a quiet month costs less.

  • 2,000 questions a month included
  • Free 14-day trial with 100 questions
  • No credit card required to start
  • Month to month, no long-term commitment

How it works

How to get Kipper into Teams with Xero behind it

One authorisation on the Xero side, one approval on the Microsoft side, and the deployment is ours to do.

01

Authorise Xero

Start in the Kipper portal under Data Sources. Xero takes over from there, asks which organisation you are granting access to, and hands back a read-only connection.

02

Get it signed off in Microsoft 365

Start the Teams connector in the portal. A Microsoft 365 administrator has to grant the permissions, and if that is not you, the portal hands you a single-use link to pass along. It lasts seven days.

03

We put the app in your tenant

Email support@kipper.com once the permissions are granted and Kipper loads the app into your tenant. There is no Teams app store listing, so this part is not your IT team's problem.

04

Invite people and start asking

Add people in the portal with the email address they already use in Teams, give each a permission set, then mention Kipper in a channel or open it from the Apps tray.

We'll do the setup with you.

A 30-minute session: connect Xero, add Microsoft Teams, and set who can see what. Free, no commitment.

Straight answer

What Kipper will not do

Worth knowing before you book a call, so nothing here is a surprise later.

Approve a bill or a purchase order. Kipper can report a status but never set one.

Raise a purchase order, a bill, an invoice or a quote.

Read bank transactions or bank balances, or tell you a cash position.

Turn up in the Microsoft Teams app store. Kipper loads it into your tenant instead.

Serve two Kipper workspaces from a single Microsoft 365 tenant.

Return a Cash Flow statement or VAT return.

How Kipper handles access

Read-only. Permissioned. Logged.

  • Kipper never creates, updates, or deletes Xero records.
  • You choose what each user or team can see.
  • Every question is written to an audit log.
  • Pricing is the same on every interface. See plans.

FAQ

Xero in Microsoft Teams

What it will not touch, who signs it off, and how the app reaches your tenant.

No, and it is worth separating the two things. Kipper can tell a channel what status a bill or a purchase order is sitting at right now. It cannot move it, approve it, or create one. If what you want is the approval itself inside Teams, that is a different kind of app and the two work happily side by side.
No. Bank transactions, bank balances and reconciliation status are not part of the Xero connection Kipper uses, so a cash position cannot be produced from it either. What a channel can see is what is owed, what is owing, and what has already been settled.
An administrator. They grant Kipper its permissions in Microsoft 365 before anyone can use it. If you are not one, the Kipper portal produces a single-use link you can forward to whoever is, and it stays valid for seven days.
We put it there. Once the permissions are granted, email support@kipper.com and Kipper loads the app into your tenant directly. There is no Microsoft Teams app store listing to install from, which also means it only exists in tenants that asked for it.
Yes. Ask about a purchase order by supplier or number and Kipper reports its current state, including whether a bill has been raised against it. It reads that state from Xero rather than deciding it.
They are Xero's own way of grouping, so a regional or departmental channel can ask for its own invoiced total without anybody building a report. Industry and sector are not real Xero fields and cannot be used the same way.
The one chosen when the connection was authorised. Xero's login asks which organisation to grant access to, and that is the only one Kipper reads.
No. One administrator authorises the Xero organisation once. Everybody else needs Microsoft Teams and a Kipper permission set, nothing more.
Yes. Ask by invoice number and Kipper returns a download link in the chat for the document Xero produced. One invoice at a time, the link expires after a few minutes, and permission is re-checked at the point of download.
