If you are looking for bookkeeping software for multiple clients, QuickBooks and Xero both provide free practice tools for accounting professionals. Within each platform, your firm gets one account with a client list you can switch between, plus access control for your staff, instead of separate credentials for every client. No console covers both, so a firm with clients on QuickBooks and Xero needs to use each platform’s tools.

Two things are worth knowing alongside that. Both platforms are updating their practice tools this year, so a good deal of what is written about them is already out of date. Multi-client access for your staff is also only one part of the problem. Firms may also need practice management and a simpler way for clients to get information from their own books. What firms need to manage multiple clients

Three different problems get mixed together in this search. They are solved by different products, and it is worth knowing which one you actually have.

Managing multiple clients in QuickBooks

QuickBooks Online Accountant is the free console for accounting professionals. It is not a separate ledger. It sits over the QuickBooks companies your clients already pay for, and gives you a client dashboard, one set of credentials, and access control for your staff.

It is also being replaced. Intuit’s own page states that “QuickBooks Online Accountant will be officially discontinued on December 31, 2026, as we transition all firms to the modern Intuit Accountant Suite platform”.

The Core version remains free. Intuit says it “has no monthly recurring fee and remains free for your firm to use,” and Core covers the multi-client basics: several client files open at once in separate tabs, clients organized into custom segments, role-based access for your team. Above it sits a paid tier, Accelerate, where cross-client analysis lives.

Per Intuit’s usage limits documentation (updated 5 August 2026), a client company includes two accountant firm users on Simple Start, Essentials and Plus, and three on Advanced. These are counted separately from billable users, so adding a second person from your firm does not count toward the client’s own user limit.

Managing multiple clients in Xero

If you are looking for Xero HQ or Xero Practice Manager, both are being folded into Xero Partner Hub. Xero’s announcement of 22 September 2025 says Practice Manager users could opt into early access from November, and that “all other practices, including those only using Xero HQ, will make the move in early 2026.”

Rollout is regional and still expanding, so where you are changes what you see. Australia and New Zealand went first: Xero’s Partner Hub page for New Zealand says “in Australia and New Zealand we have over 5,000 practices already using it,” and that “all other practices will be automatically transitioned to Xero Partner Hub from September.” Other markets followed. Xero’s update of 25 July 2026 says that “following rollout in the UK earlier in the year, Xero Partner Hub is now live for all partners in the US, Ireland, Singapore, Hong Kong, Indonesia, Malaysia, the Philippines, South Africa and Canada.” That is the position as of September 2026.

Where Partner Hub is available, client management and practice management are brought into one place. Xero’s Partner Hub page describes Partner Hub as including “client and staff management, report and chart of account templates, a new homepage with widgets that surface key client information, a Quick actions widget,” and states that “Xero Partner Hub is included as part of the Xero partner program.”

Practice Management, meaning jobs, time and billing, is free for most established firms. Xero says it “is available with an upgrade to Xero Partner Hub plus Practice Management and is free via the partner program at Silver tier and above.”

So both platforms give firms one place to reach their clients on that platform, with staff access control and some practice tools included. What neither offers is a combined view. There is no native QuickBooks or Xero tool that puts clients from both platforms into a single client list.

When you also need practice management software

Tools such as Karbon, Financial Cents, Canopy and Jetpack Workflow are frequently offered as the answer to this search. They primarily solve practice and workflow management rather than replacing QuickBooks or Xero as the accounting system: recurring jobs, deadlines, capacity, client requests, document collection.

If your problem is “I cannot tell what is due this week across my clients,” that is the purchase. If your problem is “I am logging in and out all day,” the free practice tools already cover it.

What about client-facing access?

Everything above primarily improves access for your firm’s staff. It does not necessarily make it easy for a client’s own employees to get a simple answer out of the books.

Both platforms do have real permission settings. QuickBooks Online Plus and Advanced include a reports-only user, Advanced adds custom roles with more detailed permissions, including view-only access in supported areas, and Xero assigns roles per organization. Those permissions are all built for someone working inside the accounting system: they need a login, they need to know where to look, and the narrower options are often limited to reports rather than a straight answer.

That can leave a client’s staff choosing between learning a system they do not otherwise use and asking your team. Many of those questions are simple lookups:

  • “Has invoice 4471 been paid?”
  • “What is our total AR right now?”
  • “Which invoices are past 30 days?”
  • “How much did we collect this month?”
  • “What did we pay that supplier this year?”
  • “Any bills due this week?”

The answer is already in the books your team keeps. It is a lookup, not judgment. Each one still takes someone on your team away from the work they were doing.

That pattern is not hypothetical. A log of the questions people actually typed into a finance chat reduced 253 typed questions to eighteen recurring asks, and most of them were lookups of exactly this shape.

Consider an illustrative example, a mid-market business with 3,912 active customers and 124,812 invoices on file. Every one of those customers is a possible “have they paid yet?”, asked by someone in sales or service who has no reason to learn the accounting system.

Adding a client-facing layer

This is where Kipper’s firm setup fits. It uses a similar firm-and-client structure to the practice tools above, but adds a client-facing layer.

Your firm gets one account. Inside it, each client gets their own workspace, connected to that client’s accounting system. One login for your firm, a client list underneath it, strict separation between them. Your staff work across clients from the firm account. Each client’s own people stay scoped to their own workspace.

Scope is set per person. The owner can have the broadest access, while an operations lead might be limited to invoices and payments and a warehouse manager to inventory. They ask by text, in Slack or Teams, or in a portal.

For each client workspace:

  • Kipper reads only. A client’s books stay exactly as they are.
  • Every question and answer is logged, per client workspace, visible in your firm’s portal.
  • Questions needing judgment come back to you. “Should we change our payment terms?” is not a lookup. Kipper answers from what is in the books and says when a question falls outside that.
  • Your firm is billed per client, per month.

Choosing the right setup for your firm

  • Logging in and out of client books all day? Use the free practice tools. On the QuickBooks side, plan for the move to Intuit Accountant Suite before 31 December 2026. If you have clients on both platforms, run both.
  • Cannot see what work is due across the client base? That is practice management, and it is a separate purchase.
  • Spending too much time answering client lookup questions? That is a different problem from the two above.

Is there bookkeeping software that handles multiple clients with one login?

Yes, within each platform. QuickBooks and Xero both publish free tools for accounting professionals that let your firm manage every client on that platform from one firm account, with a client list you switch between instead of separate credentials per client. Neither is a different ledger, and there is no single console that covers both. A firm with clients on both platforms runs both.

Is QuickBooks Online Accountant being discontinued?

Yes. Intuit states that QuickBooks Online Accountant will be officially discontinued on December 31, 2026, as firms move to Intuit Accountant Suite. The Core tier of Intuit Accountant Suite has no monthly recurring fee and stays free for your firm, with a paid Accelerate tier above it.

How many accountant users does a QuickBooks Online company include?

Two accountant firm users on Simple Start, Essentials and Plus, and three on Advanced. Accountant firm users are counted separately from billable users, so adding someone from your firm does not count toward the client’s own user limit.

What is happening to Xero HQ?

Xero is folding both Xero HQ and Xero Practice Manager into Xero Partner Hub, which brings client management and practice management into one place. Xero said in September 2025 that practices using only Xero HQ would move in early 2026. Australia and New Zealand went first, where Xero says over 5,000 practices are already using it, and other markets including the UK, US, Ireland and Canada followed. Practice Management is included free at Silver partner tier and above.

Can my clients look things up themselves without learning the accounting system?

Not through the practice tools, which are built for your staff rather than your clients. Both platforms do have permission settings, but they govern what someone can reach inside the accounting system once they have a login and know how to use it. Letting a client’s own people get a quick answer without that is a separate problem, solved by a client-facing layer in front of the books with per-person scope and a log of what was asked.
